Safer Event Measures And Guidelines

The TechEd Showcase team are excited to be returning to live events. They will look and feel a little different as we have put in place measures and guidelines to provide high levels of hygiene and safety in accordance with official government guidance.

Below we outline the measures we have put in place to meet those safety guidelines to help protect delegates, presenters and staff at the event venues.

We will continue to monitor and update our safety protocols and procedures in line with government requirements and best practice.

Before The Event

  • Track and trace details will be requested for all attendees and submitted to the venue in line with the latest government advice.
  • All event paperwork will be printed and collated 72 hours before the event
  • Please do not attend the event if you are displaying any of the COVID-19 symptoms or have tested positive for COVID-19
  • Cleaning schedules and hygiene checks at the venues will be increased both before, during and after each event.
  • Staff will take a lateral flow test before the event. Current government guidance recommends everyone takes a rapid lateral flow test twice a week (notwithstanding exemptions and subject to availability) so we would encourage all attendees to take a test before attending an event if possible.

On The Day

  • Reduced numbers of delegates to ensure social distancing can be adhered to. Event registration has been capped at no more than 50% of the room's seated event capacity.
  • Limited numbers will allow us to manage the arrival of delegates who will collect their own clipboard of information for the event.
  • Delegates will be allocated to a 'bubble' for the event. A steward will take delegates to their allocated seat which will be used for the duration of the event. Unallocated seats will be labelled as not for use to ensure social distancing.
  • To reduce the flow of people, presenters will move to the presentation area during a short break between the sessions. We would normally use large computer monitors for these events but have invested in multiple projectors and screens to ensure that everyone in each group can see the presentations and software demonstrations from their socially distanced seats.
  • Current government advice in England is to wear face coverings when meeting people indoors and in Scotland it is still a requirement to wear face coverings when meeting indoors, so we kindly request attendees wear masks (unless exempt) when attending these events.
  • Mask will be worn by TechEd Showcase staff.
  • Hand sanitising stations will be provided throughout the event.
  • Event signage will be prominently displayed around the event as a reminder of social distancing, visitor flow and personal hygiene.
  • Signs and markings will be displayed to manage use of the refreshment area and a steward will be available to ensure that equipment is sanitised between use and social distancing is observed.
  • All non-essential items i.e. stationery, pens, pencils will be removed from the venues. Cloakrooms and coat racks will be unavailable.
  • Feedback sheets will be retained on the delegate clipboards and placed in a collection box at the end of the event.

After The Event

  • Presenters will receive delegate feedback and get in touch as requested.
